Meeting Minutes

  1. Call to Order

    The meeting was called to order at 6:35 p.m.

  2. Approval of the Agenda

    The agenda was approved as submitted.

  3. Approval of Minutes from September 19, 2023 and October 19, 2022 AGM

    The September 19, 2023 minutes were approved by Sharlene, seconded by Alina

    The October 19, 2022 minutes were approved by Alina, seconded by Sharlene

  4. Acknowledgement of the Land – Provided by Alina Sezanaeva

  5. Chair Welcome and Introductions

    Andrea is currently away and not able to attend meeting, motion made to have Joanna Anagnostakos-Glynn chair meeting in her absence

    Motion to approve the Chair Report by Taryn, seconded by Lee. Voted unanimously as approved, motion is passed.

  7. Treasurer Report – Sharlene Start

    Sharlene gave overview of Treasurers report, as per slides, with breakdown of category spending for 2022 and 2023 school year

    Funds from general accounts & casino accounts

    Funding breakdown: School (38.9%), Students (37.9%), Staff (15.5%), Council (6.7%), Parents (1.1%) – total spend was $64,000 in 2022/23 school year.

    Legacy project spend in 2022/2023 was $70,382.26

    Total over three years $110,957.26 spent towards Legacy Project (some funding, provided)

    Budget will be presented at November KSC/KPFS Meeting

    Annual Fundraising Update

    Total Budget last year: Casino budget $53,000, spent just over $45,000. General account budget $31,000, spent $17,000. Have a surplus right now due to Covid

    Motion to approve the Treasurer Report was provided by Joanna, seconded by Tara. Voting was carried out unanimously and motion was passed to approve the Treasurer Report.

  8. Board Executive Nominations

    1. Resignation of Roles - Taryn asked if there were any current members who would like to resign, no members asked to resign.

    2. Returning Position Confirmations - Joanna confirmed all returning positions

    3. Vacant Position Confirmations

      Executive open positions: Chair, Vice Chair, Communications Chair, Garden Chair

      Non-Executive open positions:

      For vacant executive positions, the following motions were made:

      Chair: Alina made motion to approve Joanna Anagnostakos-Glynn as Chair, Sharlene seconded the motion, voting took place with no opposition, motion passed for Joanna Anagnostakos-Glynn to be Chair

      Vice Chair: Taryn made motion to approve Clancy Khezri as Vice Chair, Sharlene seconded the motion, voting took place with no opposition, motion passed for Clancy Khezri to be Vice-Chair

      Communications Chair: Tara made motion to approve Amber Elliott Communications Chair, Clancy seconded the motion, voting took place with no opposition, motion passed for Amber Elliott to be Communications Chair

      Garden Chair: Angela made motion to approve Katrina Greenbow as Garden Chair, Alina seconded the motion, voting took place with no opposition, motion passed for Katrina Greenbow to be Garden Chair

  9. Administration Update – Lea Sherwood

    • Will be having a Winter Show, Grades 1-6, Kindergarten show will be later in the year

    • Morning of December 7, 2023 for Grade 1-6 Winter Show

    • Will have a Lower Elementary Show, then Upper Elementary show, then a second Lower Elementary Show

    • Focusing on Montessori development and professional learning this year

    • Friday afternoons do professional development, one Friday per month will have work on Montessori environment

    • December 8th, all three Calgary Montessori schools getting together for a professional learning day in Calgary

    • Reminder that costumes are not permitted in school on Halloween, will be a Black and Orange day for students

    • Remembrance Day assembly falls in Fall Break, will be held on November 8th before Fall Break

    • One of 37 schools chosen by Calgary Flames Foundation to match Terry Fox donations

    • Question from Sharlene: With all the Montessori training, is there anything that the teachers need funding for that the KSC could provide from General Funds? Possibly, a few teachers are looking to do their training this year. Lea will keep this in mind.

      Comment from Megan: MAPSS is looking to cover most of the cost but will let Lea know.

  10. KSC Updates

    • Events Update – Joanna Anagnostakos-Glynn

      Thank and recognize council and volunteers.

      World Teacher Day celebrated

      Fun Lunches have begun, thank you to Belkys for organizing these. Not a fundraiser, can sign up at www.healthyhunger.ca

      Coming up in two days, Halloween Family Party on Thursday, October 19th, 6-8pm

      MAPSS AGM Meeting tomorrow evening. Megan will share link to AGM meeting in the social media channels.

    • Volunteer Update – Clancy Khezri

      Had 10 bakers provide treats for staff on World Teachers Day

      Halloween Dance still needs volunteers

      Seeing large updates in volunteers through social media

      Only 66 families have completed parent volunteer form, encouraging families to fill this out to broaden list

    • Communications Update – Tara Israelson

      Moved more towards social media channels

      Weekly updates happening on a monthly updates now, first Friday of every month within Lea’s message

      Andrea will be taking over as full time Comms rep

    • Casino Update – Remi Loyer

      30 volunteers signed up, looking for 11 more volunteers (a few day shifts, count rooms/evening shifts are full, need a few more day shift people to cover, as well as backups)

      No previous experience required, fully non-smoking environment, underground parking available, free meal and snacks provided, no need to have a police check ahead of time for this volunteer event

      Raises ~$70,000 for the school with very little effort from the parent volunteers

      Question: what happens if we don’t have enough volunteers? May have to forfeit our spot for this fundraiser and for future eligibility for these fundraisers, if we have a few vacancies it comes out of what we raise as funds
